Organizing commission orders?

What's the best way to track commissions you order?
Is there an introduction guide on how to be a responsible customer?
I love ordering commissions but my hubby notices I usually don't get my orders back. Either because I'm not organized and keeping up with correspondence orrr usually the artists never complete the order.
I'd like to make sure I do better this year about writing down what I order.
Plus if I could actually write down orders, dates, and payments I could report it to my taxes for creative business. If only AJ would get her shit together!

Commissioner can follow their work advancement too (you don't need to put image for WIP)
I also use it to keep track of commission ideas that I want to get someone to draw.
I try to message artists that owe me after about 4 months if I hadn't heard anything, that way I can discuss with them if they will continue my commission or if I can get a refund (and if they continue to not reply & I haven't gotten any WIP or anything, I'll usually issue a refund through paypal)
