how to be more organized

recently I have been having trouble keeping track of reference material that commissioners send me. Having to dig through all of my notes to get to a single note that has the reference material and a description of what somebody wants me to draw for them is starting to give me a real headache. I don't want to be one of those artists who ignores casual notes that people send him, I like talking to people and I like engaging my fans. But having to scroll through four or five pages of notes just to find the person I'm looking for and then having to scroll through 5 to 20 different notes from said person to come back to the one that has the information I need is a real pain in the balls.
does anyone have a suggestion for keeping track of this information? What do other artist do? I am thinking I should probably just make a Word document with all the given information that I can update at my leisure.
the turnaround time on my art is about a month and I constantly have people messaging me in that time. Wanting to make changes to what they want. I don't mind this at all it is perfectly acceptable so please don't take this the wrong way, its just difficult to keep track of everything and I want to make sure I make everyone as happy as I possibly can with their finished product.

Save all documents in a single file and delete as they are completed.
Granted, that's how I'd do it. There's a bunch of ways to organize stuff, just have to pick one and stick with it! :)
Another thing you could try is just copy/pasting what you need into a word file, and save any images you need in a folder along with it. That's something I've been considering doing myself, but I'm set in my ways. lol
